Job Brief:

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks in the office and Laboratory, assisting in daily office needs and our company’s general administrative activities, while providing support to our managers and the employees.

 

What Does an Administrative Assistant Do?

Responsibilities include handling administrative requests and queries from managers, preparing reports and maintaining appropriate filing systems, help invoicing, help in laboratory tasks like opening device packages, making copies, keeping inventory log, etc. The ideal candidate should have excellent organizational skills, organize their work using tools, like MS Excel and office equipment.  Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

 

Responsibilities:

  • Answer and direct phone calls
  • Write and distribute email, correspondence memos, letters, faxes, and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Provide general support to visitorsExcellent time management and multitasking skills
  • Computer literacy; Proficiency in Microsoft Word, Excel, Outlook, data entry
  • Ability to enter data efficiently, timely and correctly in order to meet deadlines
  • Good planning and organizational skills
  • Well-developed verbal, listening, and written communications skills
  • Ability to work independently or as a member of a team
  • Attention to detail and a high level of accuracy and confidentiality
  • Ability to maintain a professional appearance and manner
  • Ability to contend with a wide variety of people on various issues
  • Ability to work in a busy, fast-paced office with continuous changes and interruptions

 

Requirements:

  • Proven experience as an administrative assistant, virtual assistant or office assistant
  • Working knowledge of office equipment, such as printers, postage machine, fax machines, etc.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Strong organizational skills with the ability to multi-task
  • Minimum: High School degree
  • Qualifications as an Administrative assistant or Secretary are a plus
